POSITION DESCRIPTIONS

Executive Roles

President

  • Manages committee meetings.

  • Manages the Annual General Meeting and prepares a report for presentation at the meeting.

  • Represents BLNC in public relations activities and opportunities.

  • Facilitates planning and budgeting for the future in accordance with the wishes of the members.

  • Responds to communication requests and interfaces between Committee, MENA and members.

  • Assists in the development of partnerships, potential sponsors and funding opportunities.

  • Leads Club direction and works to manage Club culture.

  • Facilitates tournament opportunities for players.

  • Member of executive Committee.

Vice President

  • Supports the President to perform their role.

  • Performs President’s duties when the president is unable to.

  • Assists the President and performs other such duties as directed.

  • Member of Executive Committee.

Secretary

  • Acts as the public officer for the organisation.

  • Coordinates meetings for the club- creates agendas, collates reports and takes minutes at those meetings.

  • Provides oversight and guidance to the Board on the matters of the Constitution, conduct of meetings and amendments to By-Laws.

  • Records and distributes the minutes of all meetings by e-mail fourteen (14) days prior to the following meeting.

  • Is responsible for correspondence and issues notices as required

  • Keeps records of all inward and outward correspondence.

  • Is the first line of contact for general club enquires by email.

  • Maintains files of legal documents such as constitutions & bylaws.

  • Confirms the Maintenance of the Working with Children Register annually with Registrar.

  • Oversees the club google drive account and facilitates its use.

  • Member of Executive Committee

Treasurer

  • Maintains and manages the financials of the club.

  • Banks cash within seven days of receipt and manages petty cash

  • Oversees club financials. E.g. bank accounts, the cheque books, the transfer of money between accounts.

  • Receives all monies payable to the organisation and issues receipts as required.

  • Prepares and monitors a budget for the upcoming year.

  • Records and monitors income and expenses with respect to the budget.

  • Pays accounts passed for payment.

  • Sends out accounts as required.

  • Writes and submits a financial report at each committee meeting.

  • Presents a Balance Sheet and statement of income and Expenses at the Annual General Meeting.

  • Arranges a bi-annual audit and prepares the required information.

  • Member of Executive Committee.

General Committee Roles

Registrar

  • Creates and maintains Online Registration Products.

  • Creates and maintains Online Registration Form.

  • Communicates to members the registration process.

  • Ensures all Players, Coaches & Umpires have registered and paid their Netball Victoria Registration prior to Round One.

  • Assists Players, Umpires & Coaches with any registration queries

  • Completes Transfers/Clearances for new players to the club.

  • Updates Members Details

  • Maintains the Working with Children Register with the secretary

Umpiring Coordinator

  • Organises umpire rosters and maintain records.

  • Allocates umpires to matches if required.

  • Identifies and organises umpire training and education opportunities.

  • Ensures umpires are aware of umpire development programs offered by the club and MENA.

  • Co-ordinates testing as required.

  • Encourages umpires to get involved in further umpiring opportunities such as Region, Association, Tournaments, School and rep teams.

  • Ensures all umpires are recognised for their efforts.

  • Submits regular reports to the club committee and attends meetings as required.

  • Liaises with MENA staff as required.

Coaching Coordinator

  • Maintains a register of coaches

  • Distributes information to coaches, such as training rosters, coaching courses and seminars.

  • Maintains equipment register and purchases new equipment when required.

  • Liaises with Netball Victoria regarding OTC and Level 1 coaching courses at the association level.

  • Encourages beginner coaches (including players and parents) to undertake formal coach education and/or to become accredited coaches.

  • Works with the Secretary to maintain records of coaching service and accreditation.

  • Identifies and organises training and education opportunities for volunteers.

  • Ensures all coaches are recognised for their efforts.

  • Submits regular reports to the club committee and attends meetings as required.

Team Manager Coordinator

  • Maintains a record of Team Managers

  • Liaises between the committee and team managers to ensure members are informed with required information.

  • Key manager of communications to players via TM’s

  • Details expectations of TM role including club policies relating to fill ins, rosters, managing large team numbers and conflict
    management processes.

  • Ensures team managers have all the information and resources they need

  • Submits regular reports to the club committee and attends meetings as required.
    • Maintains Team Manager Handbook.

Uniform Coordinator

  • Manages the supply and purchasing of uniforms for members,

  • Notifies members of the process of ordering uniforms

  • Assists members with sizing of uniforms (at a time and location convenient to the coordinator e.g. at training/ before or after school/ at the coordinator’s home)

  • Organises online ordering with supplier

  • Facilitates direct ordering by members.

  • Provides the Treasurer with invoices for the payment to the supplier. 

  • Distributes uniforms once delivered to the club by the supplier.

  • When necessary, provides new members with interim uniforms while awaiting delivery.

  • Keeps adequate stock of a range of sizes for fittings and to allow in season orders

  • Reviews uniform costs, pricing and stock, in consultation with the committee on a regular basis.

  • Orders new stock as required by the club.

  • Considers any new uniform items that may be required for Netball.

  • Completes annual stocktake of uniforms.

Events Coordinator

  • Plans and Manages Club events such as social outings, presentation days, fundraising stalls at MENA and other fundraising events from time to time.

  • Organises volunteers from within the committee and from the parent group to assist with event management.

Social Media Coordinator

  • Creates social media posts to communicate with and promote the club to members and other interested parties.

  • Attends club committee meetings as required.

Marketing Coordinator

  • Assists in the development of partnerships, potential sponsors and funding opportunities for the club

  • Works closely with the Social Media Co-ordinator.

  • Attends club committee meetings as required.

MENA Representative

  • Represents BLNC at MENA meetings and reports back to the Committee.

General Committee Member

  • Each general committee member is responsible for a small task to support the Club.

  • These may include organising Presentation Night trophies, managing the fill-in register and helping with the AGM.

  • General Committee members attend scheduled Committee meetings and volunteer for tasks as they arise.
